About Wildfire Defense Systems, Inc.
Wildfire Defense Systems, Inc. (“WDS”) is a Qualified Insurance Resource (QIR) operating the largest private sector wildfire service in the nation, encompassing a 22-state service area and specializing in wildfire education, loss prevention, and wildfire response services. Qualified Insurance Resources are defined as NWCG qualified or equivalent, wildland engines, tenders, hand crews, fire/liaison officers, and personnel working for or contracted by an insurance company with a mission to mitigate impacts on insured structures threatened by wildfire. WDS holds contracts with insurance companies to provide wildfire loss prevention services. WDS fields experienced, highly trained, safety-focused wildfire officers and fire personnel that hold a wide range of Federal Wildfire Incident Command position classifications necessary to meet or exceed all federal wildfire operation standards and codes including all requirements of the National Wildfire Coordinating Group (“NWCG”) or equivalent. WDS is capable of providing more than 180 wildland engines and hundreds of fire personnel and support personnel. WDS has served large and small insurance clients since 2008.
Reports To: Director of Finance
Location: This position is based in Bozeman, MT at the National Coordination Center and is not eligible for remote status.
Purpose:
The Corporate Controller has primary responsibility and supervision for all Accounts Receivable, Accounts Payable, General Ledger, Payroll, and other accounting related administration. This position will work closely with and supervise accounting staff. The Controller will also be part of the team that creates and implements policies and procedures to identify, resolve and document accounting issues in addition to creating procedures to make the close and reporting processes more efficient and accurate.
Reporting:
The Corporate Controller reports directly to the Director of Finance. The Corporate Controller and the Executive Management Team (EMT) work closely on finances, financial projects, initiatives and organizational/operational issues.
Responsibilities:
Financial / Accounting
- Responsible for corporate financial accounting (Quickbooks software or other).
- Input or review the recording of journal entries required to reflect the monthly activity
- Manage bank accounts in viewer status only for deposits, transfers and payments.
- Review monthly accounting close process including analytical review of the monthly operating results and production of monthly financial statements to ensure accurate accounting records are maintained
- Preparation of the year-to-date cash flow
- Perform cash projections to effectively manage cash balances and maximize the return on any excess cash balances
- Preparation of monthly reforecast incorporating historical results and future assumptions
- Produce or manage bi-weekly payroll
- Assist Director of Finance to update and enforce corporate accounting standard operating procedures and protocols.
- Create and maintain the consolidated corporate budget derived from individual departmental budgets
- Implement, document and maintain adequate and effective internal controls
- Implement, document and maintain adequate and effective processes to improve the close and reporting cycles to ensure timely and accurate reporting
- Accurate and timely production of all financial information
- Manage multi-state financial and tax compliance
- Preparation of work papers supporting the annual tax return
- Coordinate the preparation of annual tax return with outside CPA firm
- Coordinate the review of monthly reconciliations with outside CPA firm
Administration
- Oversight of project accounting (Dynamics software or other)
- Assist in maintaining records for 401-K retirement accounts.
- Responsible for ensuring compliance with all applicable laws, rules, and regulations
- Administer corporate Health Insurance plan
Collaboration
- Works with departmental managers to create annual operating budgets.

- Works with departmental managers to produce monthly budget versus actually reports; oversees the process(es) to record transactions by department and compare costs incurred to budget and performance analysis of revenue centers.
- Work with Executive Management Team to create multi-year revenue and expense forecasts

Limits of Authority
The following limits of authority apply to the Controller position:
- Corporate Account software access
- Project Accounting software access
- Bank Account viewer status
- Limited purchase order approval authority
- No check signing or bank account transfers authority
Qualifications
- Credibility, ethical, full disclosure and clean financial history
- Confidential, understands the ethical standards of a CPA
- Ability to handle payroll including the mental conflicts that are associated with this responsibility
- Conscientious about timeliness of assignments and quality of work product
- Accountable for specific performance and exceptional work ethic
- Possess exceptional written and verbal communication skills, including ability to articulate recommendations in a concise and timely manner
- Able to handle multiple tasks and maintain control and order over same
- Good GAAP and financial reporting technical skills
- Strong General Ledger Accountant experience
Experience and Education:
- Bachelors and/or Masters degree in Finance or Accounting
- Strong work tenure: 5 to 10 years of experience working in a corporate finance environment
- Experience using QuickBook Enterprise and/or QuickBooks online
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Proficiency or experience in book keeping or project level accounting software.
- Desired experience with BillQuick Project Accounting
- CPA is preferred but not required

The pay range for this role is:
120,000 – 160,000 USD per year(Bozeman)
